2. Swatch Folders and Bulk Raw Material Ordering for ALL Purchase Orders
3 sets of Production swatch folders that include all production quality fabrics, trims and hardware by PO must be prepared for approval. 1 set is to be sent to the Production Coordinator of the Randa Luggage Design Department in Totowa-NJ, 1 set is to be sent to the RLHZ China office and the last set to be kept by the factory as soon as the order has been confirmed by e-mail to the factory. The set kept by the factory and by the RLHZ China office is for recordkeeping and inspection reference. Preproduction (PP) samples are to be made upon satisfactory approval of the swatches by the RLNJ office and sent to the RLNJ office for approval.
In regards to bulk material purchasing, the factory with RLHZ China office oversight will carry out 100% inspections of the raw materials to assure that acceptable quality materials are being used in the production. Any problems or delays with the raw material: fabric, trolleys or other material/components must be reported to the RLHZ China office and the Quality Assurance Manager in RLNJ office at least 62 days prior to the ex-factory Closing date.
We realize the impact that on-time delivery of components can have on the timeliness of the production schedule. Once the RLNJ and RLHZ China offices are notified of any pre-production (PP) specific delivery problems at least 62 days before ex-China ship date, the RLHZ China team will try to resolve the issue with the raw material component suppliers.
3. Preproduction samples for Initial order for ALL programs
Every supplier must send a FULL set of preproduction samples to Randa Luggage New Jersey office upon approval of swatch folders and no later than 48 days prior to the ex-factory Closing ship date. The RLNJ office will point out any problems that would need correction prior to production.
Once the PP samples have been signed-off by the RLNJ team, the Supplier should also make a duplicate set PP sample for 1st shipment to RLHZ China office, the RLHZ China office will sign-off and send back to factory upon confirmation from RLNJ office. During the raw material, in-process and final inspections, the RLHZ China team will frequently refer to the signed off Production swatch folders and PP sample for quality benchmarking and comparison.
Factory is responsible for freight payment on PP samples sent to the RLNJ office.
4. Factory Pre-Production Meetings
Each supplier will be required to have a preproduction meeting at least 36 days prior to the ex-factory Closing date. RLHZ China office will need to be notified 4 working days before this meeting by the supplier. This meeting aims to see if any problem can be discussed before production starts for 1st shipments of all programs. The RLHZ China office will confirm in return their attendance at this meeting. Failure to notify the RLHZ China office about the meeting will incur a USD$50.00 penalty.
